Description:

  • Objective: To effectively support and streamline Client operational processes pertaining to References, Data on File content, and Copyright permissions required for the review and approval of jobs/materials in Veeva Vault.

 

Requirements

  • Bachelor’s degree or the equivalent combination of education and work experience and 2+ years of experience supporting Medical Affairs teams in Pharma/Biotech/Devices OR Master’s degree and 1+ year of related experience
  • Strong ability to communicate complex issues in a simple way and to orchestrate plans to resolve issues and mitigate risks
  • Good working knowledge and familiar with utilizing Veeva PromoMats and/or Veeva MedComms
  • Excellent presentation and highly proficient computer skills (e.g., Excel, PowerPoint, Word) – Is there a way we can test their proficiency in these programs?
  • Familiar with automation tools to present information and data to appropriate audiences
  • Comfortable with tools and processes that support work conducted by functional area
  • Ability to work as part of a team
  • Strong computer skills
  • Good communications, problem-solving, analytical thinking skills

Responsibilities

Provide support for Client references including Data on File and Copyright permissions.

 DOF IP References

  • Create DOF IP packet, if not already provided by medical, and upload into RRTI/IP Manager for review and approval.
  • Upload approved DOF IP references into Veeva Vault for processing by Global Vault Library team.
  • Communicate effectively with business regarding approval, re-approval, and expiration of DOF IP references .
  • Attach DOF IP reference as supporting document to relevant content in Veeva Vault.
  • Replace DOF IP reference with published article, when available, to relevant content in Veeva Vault.

 

 

DOF Non-IP References

  • Create DOF Non-IP packet, if not already provided by medical, complete DOF.01.01.F01 Form, and obtain appropriate approvals and signatures from data owner(s) and other medical approver(s)3, as required.
  • Upload approved DOF Non-IP references into Veeva Vault for processing by Global Vault Library team.
  • Communicate effectively with business regarding approval, re-approval, and expiration of DOF Non-IP references .
  • Attach DOF Non-IP reference as supporting document to relevant content in Veeva Vault.

 

Job/Material References (journal articles, book chapters, websites, source data, etc.)

  • Support denied reference requests pertaining to migrated and current references processed by Global Vault Library team.
  • Communicate effectively with business and source references as required for the review and approval of jobs/materials in Veeva Vault.
  • This pertains to the creation of new reference(s), rejection of reference request(s), and/or source appropriate reference (primary source) as needed.

Copyright Support

  • For any component of the Material, including, but not limited to, image, video, sound, or text should have appropriate copyright permission for intended use.
  • Ensure Promotional or Non-Promotional Job/Material have appropriate copyright permission for use.
  • Maintain repository and copyright permissions for Client

Update and maintain procedural documentation as it pertains to Client for Veeva Vault.

  • Master Reference List
  • Copyright repository, budget, and permissions
  • List of compliance deviations record
  • Client content guidance documents 

 

Provide support with additional ad hoc projects related to approval of promotional and non-promotional materials as required by the business.
