Typical Day in the Role
Purpose of the Team:
- Performs a variety of complex administrative functions primarily for an individual manager and secondarily for a group.
- Manages schedule(s); coordinates travel arrangements; coordinates meetings and events; coordinates department financial operations, personnel operations, and facility operations; completes special projects as assigned.
Key projects:
- Manage and maintain complex calendar to ensure accurate scheduling and time management for VP.
- This role will contribute to doing all the team support plus calendaring for a business unit leader.
- Prepare Expense Reports in a compliant and timely manner.
- Responsible for daily calendar management, expense report submissions, and travel coordination (domestic and international travel), including on-the-ground logistics.
- Doing all the team support plus calendaring for a business unit leader.
- In coordination with the Business Operations team, plan events and offsites, including logistics like venue selection, meeting details, and material preparation.
- Additional daily administrative tasks may be required as well.
- Ensuring the new candidate can support one or two partner-level calendars and manage a team ratio of one admin to 150 team members.

- As a Business Administrator, you will work in close partnership with a VP, a Partner and the Admin team to provide seamless support. You will also partner with the business administration community on various Org related events.
- The position requires someone who has excellent communication, organizational and interpersonal skills along with the ability to work at the Client executive level.
- It also requires someone who can clearly prioritize and handle multiple tasks simultaneously within a global and cross-organizational team seamlessly.
Responsibilities
Role Responsibilities include (but are not limited to):
- Manage and maintain complex calendar to ensure accurate scheduling and time management for VP.

- Responsible for daily calendar management, expense report submissions, and travel coordination (domestic and international travel), including on-the-ground logistics.
- Work closely with the Business Management team on aligning Rhythm of the Business processes and operations with Leader’s calendar and ensure tight coordination of commitments.
- In coordination with the Business Operations team, plan events and offsites, including logistics like venue selection, meeting details, and material preparation.
- Build an understanding of what is critical to the business, allowing you to make the appropriate decisions which impact the Leaders time.
- Additional daily administrative tasks may be required as well.
Qualifications
Required Qualifications:
- Minimum of 1 year experience providing executive level administrative support in a fast-paced capacity.
- Ability to make independent decisions and to juggle multiple projects at once, in addition to dealing with ambiguity.
- Working experience with Outlook, MS Teams, Word, Excel and PowerPoint, OneNote
- Working experience with internal MS tools such as Employee Central, My Expense, MS Travel, MyOrder, etc. a plus.
- BS/BA degree preferred
- May require ability to lift up to 20 lbs.
