Description
Location: Monday through Friday in office, onsite, no exceptions.
Hours- Candidates should be flexible to work an 8-hour shift between 7:30 AM – 4:00 PM with a half hour lunch.
Main Office Location: Tampa, FL, 33634
Possibility of Conversion to Full-Time: Possible extension of job assignment.
Hours: Full-time 37 1/2 hours a week
Primary Responsibilities
Mail & Shipping Services Associate
Join a dynamic team supporting daily office operations in a fast-paced corporate environment. This role ensures the smooth flow of mail, packages, supplies, and operational support across multiple departments.
Mail & Shipping Operations
- Receive, log, and deliver incoming packages from carriers such as UPS, FedEx, USPS, and DHL within a 2-hour service window
- Prepare and process outbound shipments via UPS and USPS, including labeling, documentation, and recipient notification
- Manage returned mail: scan, sort by department, and ensure timely routing
Copy & Print Services
- Maintain building-wide multifunction copier stations by refilling paper, replacing toner, and resolving basic issues (paper jams, glass cleaning, etc.)
- Track copier-related inventory and coordinate restocking of supplies
Facilities Operations
- Support ergonomic setups and internal office moves (e.g., monitor installations, chair adjustments, workspace reconfigurations)
- Assist in event and meeting room prep including furniture arrangement, audiovisual setup, and café area resets
- Perform light maintenance such as picture hanging, shelving installations, and whiteboard mounting
- Fulfill facilities requests for keys, signage, nameplates, and other day-to-day needs
- Monitor ongoing repairs, liaise with vendors, and coordinate with property management during preventative maintenance
Inventory & Equipment Management
- Monitor and restock office supplies including paper, envelopes, toner, and small equipment components
- Support functionality and cleanliness of shared appliances and communal spaces
Collaboration & Service Excellence
- Partner with staff, vendors, and service providers to fulfill work requests professionally and efficiently
- Maintain accurate logs for mail volumes, maintenance tickets, and equipment statuses
Qualifications
- High school diploma or GED (technical/vocational training preferred)
- 2+ years of experience in facilities support or mailroom operations
- Valid driver’s license (clean record preferred)
- Comfortable lifting up to 20 lbs. and performing physical tasks including walking, bending, and standing
- Familiarity with Microsoft Outlook, Excel, PowerPoint, Visio, and basic shipping systems, nice to have, must be comfortable with Microsoft Office Suite
- Highly organized, multitask-oriented, and an excellent communicator
Work Environment
- Office-based position in a four-story corporate building
- Regular physical activity required as part of daily responsibilities
