Project Scope:

A six-month temporary Document Control Technician is requested to support document control cleanup, scanning, indexing of legacy records, prepping for off-site storage and/or record destruction in accordance with POL-00004, GMP Record Retention Policy.

  • The DC Technician would also support project related documentation activities such as the Audit/Supplier/Risk module implementation and the integration of quality documents by organizing and scanning files to be imported into the applicable modules.
  • Currently all audit, supplier files are paper-based.
  • A temporary resource will provide dedicated support for administrative document control activities that do not require long-term headcount while addressing the workload surge and support successful project completions.

Description of Responsibilities:

  • Assist in organization and scanning of audit and supplier files for the implementation of the MasterControl Supplier module.
  • Verify if files are scanned. if not, scan all GxP files prior to offsite storage or permanent destruction. This includes but is not limited to BRs, logbooks, notebooks, stability reports, and other various documents to allow for DC clean-out and preparation for future document storage.
  • Maintain the offsite storage index.
  • Prepare files for offsite storage by cataloging the files, boxing the files and labeling as required.

Essential Duties and Responsibilities

  • Organize, sort and inventory physical documents in accordance with document control procedures and record retention policies.
  • Prepare files for off-site storage, including scanning, labeling, boxing, indexing, and coordinating record transfers.
  • Assist with the records disposition initiative by scanning or confirming that an electronic file is available prior to record destruction.
  • Scan hardcopy documents to create legible electronic records for migration into new Audit, Supplier and Risk system.
  • Support MasterControl project related activities by uploading files into the electronic document management system (EDMS).
  • Follow established procedures and quality system requirements related to document control and records management.
  • Communicate project status updated to the Document Control and Quality System team and escalate issues as needed.
  • Maintain an organized workspace to ensure document integrity and safety.

Minimum Qualification Requirements

  • 1+ year of document control, records management or related experience is required.
  • Basic knowledge of document filing systems (physical and electronic)
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and general computer skills.
  • Experience with scanning equipment and electronic file management preferred.
  • Ability to follow written procedures and work independently with minimal supervision.
  • Ability to lift and move file boxes (up to 30 lbs) as needed.
