Description

Administrative Assistant II- (Office Administrator)

Location: Alameda, CA (100% Onsite)

Start: Selected candidate will start ASAP upon completion of screenings

Assignment Length: 6 months from start date, with possible extension and/or temp to perm based on performance

Schedule:

  • Onsite Monday–Thursday
  • Friday WFH may be allowed at the manager’s discretion
  • Hours: 8:00am–5:00pm (1 hr lunch) or 8:30am–5:00pm (½ hr lunch)

 

Role Overview

This position supports multiple leaders at the Alameda campus, including:

  • Head of Technology
  • Head of Marketing
  • Head of Strategic Operations

The ideal candidate is early in their career but highly capable, motivated, and organized—someone who can balance executive level support with general office management responsibilities.

This is a fast paced role requiring strong follow through, excellent multitasking skills, and the ability to work independently after initial training.

  • Reliable and proactive, completing tasks without needing reminders

 

Preferred Background

  • Early career administrative professional eager to grow
  • Experience in Administrative Assistant, Office Coordinator, Office Manager, or similar roles
  • Candidates with project management experience are welcome
  • Startup experience is a strong plus
  • Healthcare experience is not required but a definite plus
  • Must have a “no task is beneath me” attitude despite supporting executives

 

Key Responsibilities

  • Manage calendars for multiple leaders
  • Coordinate meetings, logistics, materials, and follow ups
  • Plan and manage events
  • Track and submit travel expenses using Concur
  • Order food, beverages, and office supplies
  • Support various department heads; work cross functionally
  • Handle a high volume of tasks efficiently within a 40 hour workweek

 

Education Requirements

  • High School Diploma or GED required
  • Associate or bachelor’s degrees also accepted
  • Candidate must provide proof of education
