Service Coordinator II

Someone who is highly organized, responsive, and comfortable handling multiple service requests while coordinating across teams and keeping customers informed.

Prefer candidates that have scheduling technicians experience. No Transportation (Fleet, taxi, AAA) or 911 dispatchers. Best candidates are those that have scheduled for a contractor (mechanical, electrical, fire alarm, controls etc). Good communication skills, ability to multi task, like to be busy, flexible to frequent change, high volume environment.

Overview:
This role is responsible for coordinating service operations, scheduling technicians, and ensuring smooth communication between internal teams and customers. It’s a fast-paced, customer-facing role focused on dispatching, tracking, and supporting service work.

Key Responsibilities:

  • Coordinate and schedule service jobs, technicians, materials, and subcontractors
  • Handle incoming service calls and respond to urgent/emergency requests
  • Create and manage work orders; dispatch technicians accordingly
  • Communicate with internal teams (Project Managers, Account Managers, Technicians) and customers
  • Track job progress and update systems with service details
  • Ensure high customer satisfaction by resolving issues and handling requests
  • Work closely with parts and operations teams for job completion
  • Generate and review reports related to service activities
  • Complete documentation and hand off to project/admin teams

Requirements:

  • 3+ years of experience in coordination, scheduling, or customer service roles
  • OR a technical/college certificate with relevant experience
  • Experience in fast-paced, service-based environments
  • Strong communication and coordination skills
  • Basic knowledge of Microsoft Office
  • Experience in HVAC, mechanical, or construction industry is a plus

Additional Details:

  • No team management responsibilities
  • May require occasional overtime/weekend work
  • Valid driver’s license needed (rare field visits)
  • Office-based role with minimal physical activity
