Description
This is a full-time position with the required hours of 7:30 am to 4:30 pm, with a one-hour lunch break. Overtime may be required on occasion.

Job Overview
- The Front Desk Administrator is primarily responsible for ensuring all visitors are greeted and calls are answered in a timely and professional manner.
- This role will include assisting with administrative tasks, including entry of purchase orders, as time allows.
- This role works closely with the Office Manager to ensure the smooth operation of the office.
Essential Responsibilities and Duties:
Primary coverage of front desk responsibilities:
- Ensure timely answering of P28 main phone line; assist callers and/or direct to appropriate employees.
- Greet visitors, assess their needs, and direct as appropriate in an efficient and professional manner.
- Assist employees as needed; direct as necessary to appropriate personnel for further assistance.
Entry of purchase orders into SAP for services and supplies from various departments.
- Receive requests and review for accuracy and completeness.
- Confirm timely approval by appropriate manager.
- Process, distribute and scan critical mail to off-site personnel; assist with shipment of office related materials.
- Ensure break and lunchrooms, coffee and copy stations, collaboration areas and office supply storage are appropriately stocked and maintained; inform Office Manager of issues and/or low stock.
- Keep a safe and clean reception area by complying with procedures, rules, and regulations.
- Distribute and process employee gym waivers to ensure protocol is followed to gain access.
- Provide administrative assistance to various departments, including assisting with projects, making copies, ordering lunches, assisting with mailings.
- Assist Office Manager as needed with logistic support for onsite activities, including meetings, parties, and entertainment.
- May on occasion be asked to assist with both onsite and offsite coverage for weekend events.
- Other duties as assigned.
Qualifications
- High school diploma or GED required.
- Previous general office experience required.
- Must present professional demeanor, attire and work ethic.
- Must have excellent oral and written communications.
- MS Office skill sets required; prior experience with SAP preferred.
- Ability to maintain confidentiality.
- Self-motivated with the ability to achieve desired results with minimal supervision.
- Must be able to work an 8am – 5pm schedule, Monday – Friday.
Work Environment
This job operates in a professional, fast paced office environment. This role routinely uses standard office equipment such as computers, phones and copy machines. Tasks/schedule vary daily. This position is a full-time onsite role.
