Job Summary

  • We are looking for a full-time Production Coordinator to support the execution of Direct Mail and Print Campaigns, as well as management of our Stationery ordering platform and warehousing.
  • This role coordinates production phases end to end — from intake through procurement, execution, delivery and warehousing — while managing tight deadlines, vendor relationships, and quality control across multiple concurrent jobs.
  • The ideal candidate is highly organized, detail oriented, a fast learner and comfortable managing multiple priorities to deliver within established timelines, has a strong customer-service orientation, and the ability to catch and resolve errors before they reach production. 
  • Preference for the candidate to have prior experience in direct mail & print production. 

Key Responsibilities

  • Production Coordinator - Track multiple Direct Mail, Print and Stationery campaigns concurrently and monitor progress to keep all jobs on track and delivered on time with reporting as needed
  • Production & Quality Control - Meticulously review artwork, data files, vendor proofs, and programming instructions to catch and resolve errors, ensure quality standards are met across all print and direct mail workflows
  • Financial Management - Prepare and obtain job estimates, analyze costs, make vendor recommendations to stakeholders, execute purchase orders, perform invoice reconciliation, manage postage and support financial tracking
  • Compliance - Serve as compliance liaison for programs as needed
  • Inventory Management - Manage inventory levels and monitor stock to support uninterrupted supply
  • Vendor Management - Coordinate with print, stationery and mail vendors to prepare & and make vendor recommendations to stakeholders and hold vendor partners accountable to quality and delivery standards
  • Vendor Contracts – Support vendor contracts and Statements of Work (SOWs) in partnership with sourcing/procurement and business teams
  • Subject Matter Expert (SME) – Grow to become the SME for supported platforms, document processes and workflows, and results reporting

Required Qualifications

  • Strong project & process management and organizational skills
  • Exceptionally detail oriented with strong proofreading skills
  • Data mindset as applied to direct mail variable data programming instructions
  • Key Competencies
  • Highly organized and detail-oriented, with a bias toward action
  • Solution-focused to identify problems and bring solutions
  • Technologic aptitude to have comfort leveraging operating platforms such as Microsoft Office, Adobe Workfront, Ariba, and AI tools
  • Client-focused communicator
  • Preference of experience within insurance, financial services or other regulated industries
  • Preference of working knowledge of print production, direct mail coordination, or a related production/operations role
