- Multi-site programme coordination — running a repeating cycle to a fixed calendar across many locations, holding a global standard while handling local exceptions
- Budget and procurement administration — tracking spend against allocation, purchase requisitions, and compliance documentation across multiple stakeholders
- Written communication and documentation discipline — clear, timely, leadership-legible written output and reliable follow-through across Legal, Finance and Comms
Nice-to-have Skills
- Grants administration, community investment or corporate philanthropy background
- AI tooling applied to programme data, reporting and analysis
- CRM and programme-tracking platform experience (Salesforce or similar)
Job Description
- This role runs the global operating rhythm for Client's data center community grants and investment programmes.
- It is the day-to-day operator behind programmes that run across 33 data center communities: it holds the calendar, the vendor coordination, the compliance paperwork and the budget tracking that let regional teams deliver locally at consistent quality.
- Strategy and approval authority sit with the FTE owners; this role makes the machine run.
- It is a delivery-and-systems role first, but also a community-facing role as needed.
- Success looks like programmes that launch on time in every market, a grant cycle where no site is an exception, approval submissions that clear first time because the paperwork is right, and FTE owners having clean, current data in front of them when they decide where the next cycle's money goes.
Key Projects/Day-to-Day Responsibilities:
- Track each out-of-cycle grant submission through its multi-stage processing path, flagging status changes and approaching deadlines to the relevant regional manager and the vendor
- Maintain the grant cycle calendar and hold sites to the global notification and communication timeline
- Prepare and circulate reviewer training and scoring materials, and collate scoring returns for consistency checks
- Coordinate with the external grants vendor on application status, payout tracking and cycle readiness
- Maintain budget trackers for community investment and swag spend, reconciling against approved allocations and chasing missing documentation
- Prepare purchase requisitions and contract paperwork for review and approval by the FTE owner
- Assemble the recurring leadership memo, team meeting agenda and events tracker
- Compile programme data and prepare reporting packs — participation, spend, outcomes — for the FTE owner to interpret and present
- Coordinate ceremony logistics with local vendors, community engagement managers and omms teams — swag, plaques, invites, run-of-show
- Log programme and stakeholder data into the tracking platforms and keep records current
